Packing Framework — Who Brings What, Vehicle Sequence
Session: 4 Priority: High — operational prerequisite for everything else; prevents duplication and gaps
Framing
This is not a complete gear list. It is a responsibility framework for packing.
Complete gear lists produce duplicated items and forgotten items in equal measure, because they're written once and checked once. A responsibility framework assigns each category to a person, who then owns the planning and checking for that category.
Nothing is "the group's" without a named owner. If nobody owns it, nobody brings it.
Packing ownership by category
Matt owns:
| Category | Items | Notes |
|---|---|---|
| Shade structure | Canopy, stakes, guy lines, ground cover | 10x10+ with solid sides; heavy-duty stakes; verify load vs. vehicle space |
| Camp power | Solar panel + battery station, cables, power strips | Resolved Session 9: solar + battery is correct choice — no generator needed (theme camp cancelled, sound system not applicable) |
| Cooking kit | Stove, propane × 2, pots, pans, spatula, cutting board, knife, can opener | Two-burner minimum |
| Group food (perishables) | Cooler, ice plan, protein and produce for shared meals | Plan 1 shared meal/day × full trip duration |
| Water containers | 5-gallon food-safe jugs, minimum 6 | One per person per two days; plus buffer |
| Camp seating and tables | Camp chairs (one per person), folding table | Comfort items but important for camp life |
| Camp landmark | Flag or banner visible from 50m in daylight and dark | LED string or glow-in-dark element for night use |
| MOOP bag | Dedicated bright-colored bag for camp MOOP | Different color from trash bags |
| Rubber mallet | For stake driving on unknown/rocky terrain at new Luther site | New for 2026 — standard stakes can't be hand-pushed on undeveloped land |
| Portable Bluetooth speaker | Ambient camp music | Matt's sound setup for 2026; no DJ rig (theme camp window closed) |
Matt's packing check: Before final load, verify volume vs. vehicle cargo space. Shade structure is the largest item and should be packed last / loaded first.
Developer owns:
| Category | Items | Notes |
|---|---|---|
| Gray water system | Shallow evaporation trough or sealed carry-out tank, labeled clearly | Verify site rules on gray water evaporation before event |
| Dish wash station | Two basins (wash + rinse), biodegradable dish soap, drying rack or hooks | Feeds into gray water system |
| LNT/strike kit | Extra trash bags (10+), zip-lock bags for small MOOP, label tape, disposable gloves | Departure-day sweep kit |
| Group first aid kit | Bandaids, antibiotic ointment, ibuprofen, antihistamine, blister pads, ace bandage, eye wash | One per camp; not personal |
| Site navigation | Printed site map (if available), camp coordinates or placement info | Phone backup insufficient — print if possible |
| Group gifting item | Optional: one small giftable thing per group member or as a group | Keep low-burden; 50 small items beats 5 large ones |
| Personal sleep system | Developer's own tent, bag, pad, earplugs, eye mask | Each person owns their sleep system |
Amber owns:
| Category | Items | Notes |
|---|---|---|
| Personal sleep system | Amber's tent, sleeping bag, pad, earplugs × 3+, eye mask | Don't share tents unless explicitly decided |
| Personal snacks and dry food | Her own snacks and non-perishables | Independent of group meal planning |
| Personal hygiene and health | Sunscreen, chapstick, feminine hygiene if applicable, medication | Physical checklist item — verify before packing |
| Personal water bottle | Minimum 32oz, secure lid | Her responsibility to fill each morning |
| Personal electrolytes | Nuun, Liquid IV, or equivalent — 7+ servings | One per day minimum in summer heat |
| Personal clothing | All event clothes including rain layer, warm layer for cold nights, long sleeves/pants for evenings | Michigan nights 50°F; evening bug protection at new cedar swamp / creek site |
| Personal headlamp | With fresh batteries; backup batteries | Non-optional |
| Personal battery bank | Charged before departure | Phone and personal devices |
Shared / group items (owner assigned in parentheses):
| Item | Owner | Notes |
|---|---|---|
| Group water (containers) | Matt | Part of his water system ownership |
| Group first aid | Developer | One kit, stored in known central location |
| Group trash bags (bulk) | Developer | Overprovision; split between strike kit and daily use |
| Coffee setup | Matt or Developer (decide before packing) | Morale item with daily value; camp press or pour-over preferred |
| Lighting for shade area | Matt | String lights or lanterns; runs off camp power |
Vehicle packing sequence
Packing order matters. Items needed first should be loaded last (accessible at arrival).
Load first (goes in deepest, not needed until strike): - Sleeping bags, cold-weather gear, items for later in the trip - Spare propane - Extra trash bags
Load middle: - Tents and sleeping pads - Clothing containers - Dry food containers - Generator or battery system (heavy — pack low)
Load last / most accessible: - Shade structure components (first thing built on arrival) - Water containers (staged first on arrival) - Camp chairs and table (needed quickly after setup) - First aid kit - Headlamps and battery banks (easy access for night arrival)
In cabin / most accessible: - Snacks and drinks for the drive - Phone chargers for the drive - Important documents (ticket info, event gate materials) - Medications

What to decide before finalizing packing
Resolved (Session 9 — no longer open questions): - Power: solar + battery station (not generator) - Sound: portable Bluetooth speaker only (theme camp window closed — no amplified sound permit available)
Still open: - Coffee setup owner (Matt or Developer) - Group gifting item: yes or no? If yes, what and who owns it?
Closer to event: - Exact group food plan once trip duration is confirmed - Campsite dimensions (affects shade structure footprint and camp layout) - Site map review when org releases the new Luther property map
Decision memo
- Keep: Responsibility framework over master gear list — ownership prevents both duplication and gaps
- Keep: Vehicle packing sequence — first-needed items load last
- Keep: Personal packing checklist as physical, reviewed 48 hours before departure
- Standardize: Nothing is "the group's" without a named owner
- Assign: Matt owns group packing cross-check conversation with developer before packing
- Test: Whether this framework is complete enough for the group to pack from without needing another meeting
- Revisit: Group food plan once trip dates and duration are confirmed
