DM-014 — Session 13: Consolidation and Quick-Reference Sync

Session: 13 Date: 2026-05-12 Status: Quick-reference updated to sync sessions 10–12; next-session.md brought current


Context

Session 12 closed with next-session.md still reflecting "Session 11 complete" — the session 12 artifacts (FOOD-planning-guide, TRAVEL-convoy-logistics, BUDGET-cost-framework, DM-013) were written but the session state file was not updated.

Today is May 12, 2026. The May 5 public board meeting has already passed. Lottery was entered April 20; results pending. No site map or org announcement yet. None of the session 14 triggers in DM-013 are active.

Gap analysis this session found:

QUICK-REFERENCE-summary was stale. It was last updated in Session 9. Sessions 10–12 added seven distinct planning items that were not reflected in the quick reference: 1. Lottery status (from "open NOW" to "entered April 20, results pending") 2. Wearable LED for night navigation (NIGHT-NAV-lighting-guide) 3. Backup light (NIGHT-NAV-lighting-guide) 4. Masquerade mask — minimum viable theme engagement (THEME-costume-guide) 5. Offline maps downloaded to phone (COMMS plan + SITE) 6. FRS walkie-talkies in group gear (COMMS-group-connectivity-plan) 7. 7 PM daily check-in time (COMMS-group-connectivity-plan) 8. Camp landmark navigation note — 50m landmark walk, landmark visible from distance (NIGHT-NAV + COMMS)

A stale quick-reference is the highest-risk artifact to leave outdated because it is the most likely file to be handed to a group member cold.

Decisions

  • Keep: QUICK-REFERENCE as the highest-priority artifact to keep current — every major session update should include a pass to check for stale quick-reference content
  • Keep: next-session.md as a dated, complete status file — allows resuming the loop cleanly from any point
  • Reject: Letting session state drift between the build-queue (which showed S12 complete) and next-session.md (which still said S11 complete); correct this pattern immediately each session
  • Standardize: At end of each session, confirm next-session.md reflects current session number
  • Revisit: If May 5 board meeting attendee has notes → log in research/ and update SITE, INFRA, water docs

What would trigger Session 14

  1. Lottery results come in showing incomplete group → adjust ops model, role assignments

  3. May 5 board meeting attendee provides new site-specific information → update SITE, INFRA, water
  4. Water distribution at Luther confirmed for open camping → update packing framework and infra
  5. One vs. two vehicle decision resolved → add specifics to TRAVEL-convoy-logistics
  6. Group member raises a gap the playbook doesn't address
  7. Significant org rule change

Otherwise: playbook is complete. Group executes using the countdown calendar.
