Group action summary — what the group needs to do

THIS WEEK (urgent)

  1. Tickets: All three register at volunteer.lakesoffire.org and enter the lottery. Deadline is open but offers expire 14 days after selection. Act now.

BEFORE MAY 20

  1. Sound decision: Matt (+ group) decides on theme camp registration. Deadline is May 27. See DM-007.

BEFORE JUNE (after tickets secured)

  1. Gear procurement: Matt begins — shade structure + ratchet straps, 9+ 5-gallon water containers, cook kit, 2 propane canisters
  2. Gifting item: Group decides what to bring; Amber drives. 50–75 small items.
  3. Pre-event conversation: Developer schedules for late May or early June. Uses PRE-EVENT-group-conversation-guide.md.

CLOSE TO EVENT (June–July)

  1. Volunteer shifts (optional): Each person reviews volunteer.lakesoffire.org/calendar
  2. Site map when available: Developer reviews, shares with group
  3. Final packing cross-check: Matt + Developer, 48 hours before departure (July 13)
  4. Weather forecast: Developer checks 7-day forecast July 1

AT THE EVENT

  1. Developer leads Day 1 site walkthrough
  2. Daily camp maintenance routine (10 min/day)

Which outputs most reduced uncertainty for the group? - ROLE-PREP memos — assigned ownership and named blind spots nobody would have named themselves - FAILURE-MODES memo — filtered first-timer mistakes for this group specifically - EVENT-DETAILS-2026 — surfaced the lottery urgency and the sound permit deadline; these are time-sensitive and would have been missed

Which principles needed most translation? - Radical Self-Reliance and Decommodification — both directly challenged prior-experience assumptions from Amber and Matt

Which prep areas are now clear? - All of them. The playbook is complete.

What is still open? - Matt's theme camp decision (group, not playbook) - Ticket purchases (group, not playbook) - Gear procurement timeline (group, not playbook) - The event itself

What should be standardized for future sessions? - Event-specific research as an early session (not session 6 — should be session 2 or 3 to inform all other planning) - Role assignment in session 1 was the right call — it made every subsequent memo faster to write and more specific
